What a deferral changes in the record — and what it does not

A deferral is a request to hold a place already offered or accepted and start in a later intake. The word makes it sound like a date change. It is closer to withdrawing 1 offer and issuing another, because almost everything promised is bound to the term the applicant was admitted for.

That is why deferrals produce email threads rather than transactions. Intake term is 1 field on the application record in Slate, Ellucian Banner or Salesforce, while the obligations hanging off it live in finance, housing, the international office and a document set nobody joined to it.

What a change of intake term moves, and who must agree

Programme structure is the 8th item nobody lists, because it usually does not change. When it does — a module retired, a placement year added, an intake not running — the applicant is offered something other than what they accepted.

Deferral, gap year and withdraw-and-reapply are not one request

  • Deferral. The place is held and the offer reissued for a stated later term, usually 1 cycle ahead.
  • Gap year. What the applicant does in between, not a status, unless policy requires it declared.

What a deferral workflow has to write back

The test is whether an advisor can say, from the record alone, what state the request is in and what is blocking it. 6 writes get there.

  2. A policy evaluation stamped with the version applied, because deferral rules are reviewed between cycles and appeals are argued against the version in force.

What an assistant may say while a deferral is open

Reading the state back is safe: which term was requested, which approvals are outstanding, who holds each, what happens next. Past that everything is a decision. An assistant must not say a deferral is granted, must not predict whether funding follows, and must not touch immigration — that belongs to the visa questions an assistant has to refuse.
