Freezing a membership changes when money is taken and when the agreement ends. It is arithmetic on a schedule, not a status flag, which is why two clubs use the same word, behave completely differently, and both believe they are being fair. One word, three schedules

Extend-only looks like a trick until you look at a prepaid product. An academy term paid in one instalment in September has no future collection to suspend, so a freeze can only move the date the entitlement dies. Suspend-only looks generous until a 12-month member freezes for 2 months and the agreement still ends in July.

Every club sells a freeze. Few have written down whether the member is buying a payment holiday or buying the time back, and that sentence is the whole dispute.

The five records that have to move together

  • The billing schedule. The next attempt is rescheduled, not cancelled, and the new date must survive a card change or an early return.
  • The entitlement clock. A freeze that stops debits while credits keep ageing moved the loss rather than removed it — the argument in unused session packs are money you owe.
  • Access rights. Admitted, refused, or admitted on casual terms — a club policy. How the barrier finds out is separate, in lapsed members are still getting through the door.
  • Bookings already inside the frozen window. They cancel and return their credit, or stand as an exception. Left silent, a frozen member is turned away at the desk.
  • The reporting status. Frozen is its own state, not a shade of active or of cancelled.

Frozen is a third state, and the reports have to say so

Fold frozen into active and headcount is inflated by people paying nothing. Fold it into cancelled and churn counts departures that mostly come back. Both errors vanish into a monthly total and both are obvious the moment freezes are their own line. The same choice decides participation reporting: 6 frozen weeks is not a lapsed athlete, and leaving those days in the denominator makes a healthy squad look like it is drifting — the problem set out in what adherence counts, and the four denominators.

A medical freeze is a records decision, not a clinical one

The billing behaviour of a medical freeze is one of the 3 operations above; what changes is what the club now holds. A note that a member is recovering from surgery is health information about an identifiable person, and most data-protection regimes treat that as a special category needing a stated basis, restricted access and a retention limit. Ask for a fitness-to-train statement rather than a diagnosis, record who saw it, and attach a deletion date. The obligations differ by market and change — confirm the current text with counsel.

The six parameters, before the code picks them for you

  1. Maximum length, per freeze and per year. One 3-month freeze and 6 separate fortnights are different products.
  2. Minimum length and notice. A freeze granted the day before a collection is a cancelled debit; one needing 7 days' notice is a schedule change.
  3. Back-dating. Whether a freeze may start before today decides whether staff can undo a collection that already succeeded — a refund under another name.
  4. Auto-resume. A freeze with no resume date is a cancellation still counted as a member.
  5. Whether a freeze carries a holding charge. If it is collected it belongs on the schedule, not on a manual line.
  6. A freeze starting mid-cycle. The fiddly case, and it is proration rather than freezing — the method is argued in computing pro-rata for mid-cycle joins, freezes and upgrades.

What does freezing a gym membership actually do?

It moves dates on the billing schedule, and which dates depends on what the club sells. On a rolling membership a freeze normally suspends the next collection and leaves the end date alone. On a prepaid term or pack there is nothing to suspend, so only the expiry can move. On a minimum-term agreement it usually does both.

Is a pause different from a hold?

Not inherently — the words are interchangeable in the market, and the club's own definition is the only one that governs. What matters is which of the 3 schedule operations sits behind whichever word you print, and that two words on a policy page map to one rule in the system.

Should class credits keep expiring while a membership is frozen?

No — pause the expiry clock for the frozen days, or the freeze is not a freeze. A member who pauses for 6 weeks and returns to find 4 credits gone was charged for the pause in entitlement rather than in cash.

How long should a club allow a membership to be frozen?

Long enough to cover the real reasons and short enough that a frozen member is still a member — most clubs land between 1 and 3 months a year, with a longer allowance on medical grounds. The auto-resume date matters more than the limit.
